Microsoft365 Storage Management Project Success!

Dear WPI Students, Staff, and Faculty,
Information Technology Services’ (ITS) is thrilled to offer this final update on the Microsoft365 Storage Management project. We have achieved our project goal and will close the project and move ongoing activities into operations. This would not have been possible without your cooperation! You are welcome to visit us in the Campus Center for an in-person thank you:

SUCCESS
- In May 2025, we were operating at 410 TB. As of July 2026, WPI will be operating at approximately 230 TB total WPI Microsoft storage, 20 TB below our goal!
- The reduction in Microsoft storage usage has contributed to lowered cost for WPI.
- Data required for academic, research, and business needs has been assessed and moved to more appropriate storage locations where needed.
SUSTAIN
Each member of the community is urged to:
- Continue to manage your individual Outlook and OneDrive storage effectively on a regular basis, empty Deleted Items, and refrain from using for personal email and files.
- Maintain Teams and SharePoint sites by deleting unused files, duplicate data, and version history.
- Practice data storage and transmission per the updated WPI Data Classification and Data Usage Policy.
- Seek assistance from ITS using tips in Maintain WPI Storage or by submitting the Data Storage Management form.
ITS will continue addressing storage management by:
- Assisting community members with academic, research, and business storage needs.
- Notifying account holders who are approaching or exceeding quota.
- Setting new quota levels (Staff/Faculty = 25 GB Email, 25 GB OneDrive; Students/Affiliates = 15 GB Email, 15 GB OneDrive) on new accounts and existing accounts that are below that threshold.
- Setting quota on new Teams and SharePoint sites.
- Monitoring usage and automating storage management where possible by applying system-wide policy changes (e.g., auto-deletion after 90 days of potpourri mailing list items). A 90-day auto-delete policy for Outlook Deleted Items is planned for future operations; the implementation date is yet to be determined.
On behalf of the entire project team, thank you for the time and attention you gave to assessing, deleting and moving files; learning new processes, and partnering with us. We are sincerely appreciative of your efforts to improve Microsoft 365 Storage Management over the past fourteen months!
