The Payroll Office strives to ensure that all WPI employees have access to clear, concise financial information, and that they are paid regularly and correctly. The office also handles tax withholdings, reimbursements, bonuses, overtime, and holiday pay.

Year End
The end of the calendar year is an important time for employees and for the Payroll team because it is the end of the tax year and signals a new tax season ahead. We therefore ask all employees to take a few moments at the end of each year or the very beginning of the new year to please update their personal information in Workday or confirm that it is complete and accurate. This includes verifying your:
- Correct legal name,
- Correct current address for receiving W-2 forms, and
- Current tax and withholding settings.
The Payroll department cannot advise employees on tax matters, but we kindly remind you that employees can always make changes themselves to their withholding amounts in Workday. Tuition Remission - IRS Guidelines
Under IRS guidelines, the tuition benefit for a spouse/partner is considered taxable income and must be reported as imputed income on your W-2 form. In addition, if a WPI Employee does not have the Job-Related Designation Form approved from their manager and returned to Talent & Inclusion, it will be considered as taxable income.
This means:

Tax Impact: The value of the tuition benefit provided to your spouse will be added to your taxable wages for federal, state, and FICA purposes. Payroll will calculate the imputed income by dividing the total amount by the number of months in each term.

Reporting: The imputed income will appear in the relevant boxes on your W-2 form.
- Withholding Adjustments: If applicable, you will notice an increase in the tax withholding from your impacted paycheck(s) to account for taxes due on this imputed income. You may update your tax withholding in Workday under the Benefits and Pay app > Pay > Tax > Tax Elections > Update.
