Salary Advance Process

To assist employees in adjusting their personal budgets to the new payroll cadence, Payroll is offering a one-time salary advance.

Between October and December this fall, 2025, employees can request an advance of up to 3% of their annual base salary. The advance would be repaid with no interest through payroll deduction over six months (13 paychecks) or twelve months (26 paychecks) with no interest (January through June 2026 or January through December 2026).

Salary Advance Policy

In order to submit a Salary Advance Request Form (see link and QR code below), you will be required to review and acknowledge your understanding of the policy included with the form itself and restated here only for reference. Please email talent@wpi.edu with questions.

1. Purpose - This salary advance option is intended to assist exempt employees during the transition from monthly to biweekly pay frequency as they adjust their personal budgets to the new payroll cadence.

2. Eligibility - Active benefits-eligible (Regular and Regular Fixed Term) employees are eligible. Employees covered by MTRS, temporary and seasonal employees are not eligible.

3. Advance Details - Employees may request an advance of 3% of their annual base salary. 

Requests must be submitted between October 1 and December 16, 2025.

The salary advance will be issued in one lump sum and included in the paycheck following request upon approval.

The advance is considered compensation when the payment is received and will be subject to tax and withholding deductions in the 2025 calendar year.

Only one advance is permitted per employee during the eligible period.

4. Repayment Options - Repayment begins January 2026.

Employees may choose:

  • 6-month repayment: Equal deductions from January to June 2026 (13 paychecks).
  • 12-month repayment: Equal deductions from January to December 2026 (26 paychecks).

5. Terms and Conditions - Advances are subject to approval by Talent & Inclusion.

If employment ends before full repayment, the remaining balance will be deducted from the final paycheck. 

No interest will be charged.

Employees must sign the Salary Advance Request Form to authorize the agreement.

6. Administration - The Talent Operations team will oversee the program.

Payroll will process approved advances and manage deductions.
